Registration and cancellation policy

Payment. Your program fee and accommodation are due in full when you register, unless this program offers a deposit, as set out below. If paying in full is a hardship, you can ask Guest Services for a payment plan, except close to the start of your stay, as set out below; you can apply for a scholarship at any time, or tell us someone else is paying. Every balance is due by the first day of your stay: the program's first day, or on a program whose weeks you choose, the first day of your weeks.

What your payments cover. Payments go to your program fee first: once it is paid, your place in the program is secured. Your room is held once your program fee and accommodation are both paid in full; until then the room type you chose is a request, offered as available. Housing preferences are best-effort, and nothing is guaranteed until paid in full. If the room type you asked for fills before then, we write to you, and you choose another, or to commute where the program allows it; anything paid beyond the new total is refunded.

Cancellations and refunds. If you cancel, what is refunded or credited depends on how many days before you arrive you cancel, as set out for this program below, and is of the amount you have actually paid; anything still owed is cancelled with your registration. A no-show or an early departure receives no refund or credit. Refunds go back to the original payment method where possible.

If we cancel. If Karmê Chöling cancels a program, everything you have paid for it is refunded, or credited toward a future program if you ask us to.

Changes. Changes to your dates or room after registering are made by our front desk and may change what you owe. Extra nights outside the program dates are charged at the published extra-night rate.

Your information. The details you give us are used to run the program, house and feed you safely, and reach you or your emergency contact if we need to. Dietary and medical information is shared with our kitchen and program staff for that purpose only.

Community. Karmê Chöling is a residential retreat center. By registering you agree to follow the community guidelines and any conduct agreement the program asks you to sign, and you understand that participation may be ended for behavior that endangers yourself or others.

Deposits and payment plans. A longer retreat, 5 nights or more unless a program is set otherwise, may be paid by a deposit of 30% of the stay when you register more than 30 days before your stay begins; the rest is due by its first day. A payment plan has up to 5 installments, after the deposit on a longer retreat. Within 30 days of the start of your stay, no deposit or payment plan is offered, and the bill is due in full when you register, apart from a scholarship applied for or a check someone else is sending. On a program whose weeks you choose, as a Dathün, your stay begins on the first day of the weeks you come for, and these days count from it; once such a program is under way, its weeks still to come can be registered for online until its last week begins.

Unless a program sets its own administrative fee, if you cancel: 30 days or more before you arrive, what you paid is refunded less the $100.00 administrative fee; 15 to 29 days before, you choose a 50% refund or the whole as credit toward a future program; 8 to 14 days before, it is given as credit toward a future program, with no cash refund; 7 days or fewer before, nothing is refunded or credited. A no-show or an early departure receives no refund or credit. Each is of the amount paid, and what is still owed is cancelled with the registration.
